1. ACADEMIC SESSION

Saint Soldier International School, Chandigarh, observes the academic session from April to March, as per CBSE guidelines.
First Term: April to September.
Second Term: October to March.
The school observes Summer Vacation, Autumn Vacation and Winter Vacation.

2. SCHOOL TIMINGS

• The school strictly adheres to the school timings; therefore, students are expected to be punctual.
• It is mandatory to reach the school at least five minutes before the morning bell.
• The school gates are opened to students twenty minutes before the bell.
• Parents are advised not to send/drop off their children before the gates are opened; to avoid leaving them unsupervised.

Class XI-XII disperse at 12:20, except on Practical days.

3. VISTING HOURS

As per the National Commission for Protection of Child Rights, the school observes a closed gate policy to ensure the safety of the children; therefore, school gates are locked as soon as the students get in. Visitors, including parents, are discouraged from visiting the school premises, unless they have obtained prior appointments. Normally, parents can only meet the Principal and the teachers during Parent-Teacher Meetings (PTMs). PTMs are to be attended regularly to discuss the performance of the children. PTM CALENDER LINK. However, in case parents need to discuss a pressing issue and can’t wait till the next PTM, they can seek to make an appointment by calling (0172-5024737, 5024738), or by sending an email to info@ssis.ac.in.
Parents are not allowed to walk into the classrooms and cannot consult teachers under any circumstance whatsoever on normal working days.

4. COMMUNICATIONS CENTRE

It is important for the parents to communicate regularly with the teachers to check the child’s progress and to ensure that both parents and teachers collaborate to ensure that every child is provide consistent learning support at home as well as at school. Parents can communicate with the school by emailing us on info@ssis.ac.in. or by writing a note in the school diary. Similarly, the teachers would also write notes for parents, and they must acknowledge the receipt of the notes and respond in time.
In no case should parents call teachers on their personal phone numbers.

5. REGISTRATION AND ADMISSION

Saint Soldier International School is a co-educational school that prepares the students for the all India Secondary and Senior School Certificate Examination of CBSE for classes X and XII. Admission is open to all irrespective of caste, creed, or social status. The minimum age for Play Way is two (2) years and for Pre-Nursery it is three (3) years. The name of the child may be registered for admission to classes Pre-Nursery to XII by filling an online form. Parents should complete all formalities for admission within ten (10) working days after Registration; however, it is important to note that registration does not automatically guarantee admission.

Admission is provided subject to the vacancies available, and all classes have four sections only.

ADMISSION TO PLAY WAY AND PRE-NURSERY:

I. Admission to Play way and Pre-Nursery will be on a first come first serve basis.
II. Documents required (Play way & Pre-Nursery):
 • Photograph of the child
 • Birth Certificate from the “Registrar of Births” as proof of age
 • Proof of residence: Aadhaar Card/Passport/Utility bill
 • Aadhaar card of the child
 • Blood group report of the child
 • Photograph of parents/guardians

ADMISSION TO NURSERY TO XII:

I. Admissions to all these classes will be made only in the event of vacancies available. Vacancies can be checked with the school office.
II. Admissions to classes Nursery to VIIIth are done on a first come first served basis and are based on the previous class results.
III. Admissions to classes IX and XI are based on previous class results and an admission test. Admissions to classes X and XII are based on results of the previous class, an admission test and subject to permission from CBSE.
IV. Documents required (Nursery to XII):
 • Photograph of child
 • Birth Certificate from the “Registrar of Births”
 • Proof of residence: Aadhaar Card/ Passport/ Utility bill
 • Aadhaar card of Child
 • Blood Group Report
 • Photograph of parents/ guardians
 • Copy of Progress Report card/DMC of last school attended, duly attested by the Principal.
 • Transfer Certificate (TC)/School Leaving Certificate in original, duly attested by the authority of the respective board (if   other than CBSE) and a copy of the registration card attested by the Principal of the last school attended.
 • Evidence of achievement(s) in sports, to avail the weightage assigned to sports (for admission).

Once parents/guardians meet all the requirements of the admission process, and the child successfully secures admission, it automatically means that both parents/guardians and the child(ren) completely accept all the rules and regulations (including current and future amendments).
Disputes, if any, are subject to U.T. Chandigarh jurisdiction.

6. SCHOOL FEES

School Accounts Office: Parents can contact the accounts office to get any information related to school fees by calling 0172-5024737 or email at accounts@ssis.ac.in.

I. PAYMENT SCHEDULE
 • It is the obligation of the parents to pay the school fees/dues on time. The school does not send any reminders to pay the   fee, and non-payment of school fees on time can attract penalties; and even the name of the child can be struck off from   the school roll. The school cannot be blamed for any negligence of parents/guardians in any case.
 • No Partial fee will be accepted.
 • Fee concessions/discounts cannot be claimed as a right.
 • The school reserves the right to increase the fees, whenever needed.
 • School fees are to be paid for every month of the calendar year (12 months). Even students of Class XI joining in    July/August shall pay the fees for twelve (12) months i.e., from April onwards.
 • The second sibling enrolled with the School will be given a rebate of Rs. 3000 in admission charges and Rs. 5000 in   security money.
 • Fees are to be paid by the 10th of every month, failing which, a penalty of Rs. 20/- shall be levied per day, from the 11th day of the month. Further, the name of the student will be struck off the roll on the last working day of the month without giving any notice. He/She will not be allowed to attend the classes and not be allowed to take the unit/term/final examination.
 • The student will be readmitted only on the payment of arrears and a readmission fee of Rs. 5000 as per the school rules.
 • An examination fee of Rs.750/- is to be paid in the month of November.

FOR CLASSES KG TO XII
• School fees should be paid by the 10th of each month. In case the 10th happens to be a bank holiday the fee will be accepted on the next working day without any late fee.
• The fees for the months of May and June are to be paid by the 10th of May.
• The fees for the months of February and March are to be paid by the 10th of February.

II. MODE OF PAYMENT
• Online via the School App: Parents may pay school fees online by downloading the “Saint Soldier School” application from Play Store on Android devices and the School Pad App on App Store on Apple devices. After downloading input 887711 as the School Code.
• Through the School Website: You may also visit our school website www.ssis.ac.in and click on online fee payment.
In both cases, the User ID is P followed by Admission number and Password is school pad. Parents have the option to change password.
• By Cheque: Cheques are to be drawn in favor of “SAINT SOLDIER INTERNATIONAL SCHOOL” with the admission number, name of the student, class, and telephone number on the back of the cheque. Payments by cheque/draft without a late fee will be accepted up to the 7th of the Month. In case a payment is made by cheque and the cheque is dishonored, a penalty of Rs. 250/- (over and above the late fee fine) will become applicable.
• At School Counter: Parents can pay the fees at the school counter through EFTPOS. Payment can be made through debit/credit cards only.

Cash payment is not accepted.

WITHDRAWALS

• If a parent wants to withdraw a child/children the application(s) for withdrawal must be sent by email to: info@ssis.ac.in
• The Transfer Certificate will be issued within seven working days of the request for withdrawal subject to clearance of all pending dues.
• A duplicate Transfer Certificate/Report Card etc. can be issued on payment, as per School Rules.

FEE REFUND RULES

If parents wish to withdraw a child, the following refund policy will apply:
• Fifty percent of the admission fee will be refunded only if the application for withdrawal is made within fifteen days from the date of admission.
• The application for withdrawal is to be made before the start of the new month; if the application is made later then the fees for the month must be paid.
• Those who wish to withdraw in the month of May (before the summer vacations) must pay the fee for the month of June as well.
• Those who wish to withdraw after the academic session must inform the school in writing by 15th March; failing which, the fee for the next month will be charged.
• If the fee payment is made for the whole session, or in excess for any reason, and application of withdrawal is submitted anywhere in the middle of the session, the excess fee will be refunded. The yearly discount provided for payment of the fee for the entire year will not be applicable in this case.
Note: If the monthly fee is paid for the whole session (April-March) and the application of withdrawal is submitted in September, then the monthly fee from October to March will be refunded.

7. HEALTH ASSISTANCE

A comprehensive periodic medical checkup of each child is done by qualified doctors to monitor the physical growth of children. A medical card to record the health status and growth of the child is also maintained. Health camps/talks are organized by the school to guide parents and students on health issues, hygiene, diet, etc.

Parents must reveal special health needs or a chronic medical condition (of their child/ward) that requires ongoing medications, if any, to the school doctor as a precautionary measure and to better manage unforeseen exigencies.

In case of accidents and emergencies, first aid treatment is given by our medical team. However, the school shall not be held liable for any damages/charges on account of injuries, fatal or otherwise, which may be sustained by the student at any time during his/her stay in the school while taking part in studies, sports, treks, tours, excursions, and extracurricular activities, within or outside the school premises. The parents or guardians will have to bear all the expenses incurred in such cases.

8. EXAMINATION AND PROMOTION

The holistic assessment of students covers both scholastic and co-scholastic areas. Scholastic areas include marks scored in tests and examinations, notebook submission and subject enrichment activities. Performance in tests (all through the year) is given weightage for final promotion. Notebook submission, as part of internal assessment, includes regularity and punctuality of written work, neatness, and notebook upkeep.
Skill building activities for listening, speaking and other subject enrichment activities like practicals and projects are also important.
• It is essential that a student secures 33% marks in each subject for promotion to the next class.
• Promotion from Class V, VIII, IX and XI will be as per the rules of the RTE/CBSE Examination system.
• It is essential to pass in all subjects in order to be promoted to the next class.
• Attendance is compulsory in all examinations.
• If a student does not appear in a Test/Examination without prior permission, a re-examination fee will be charged as per school rules. This also applies to students on sick leave.
• Reappearance and re-evaluation fees will also be charged as per school rules.
• If a candidate is found using any unfair mode (UFM) during an examination (that is, cheating - where a student is caught copying from or referring to any material other than the question paper or answer book) then, he/she would be given detention.
• While taking the examination every scholar should do so with utmost honesty.
• When students are sick, they should not be sent to school to sit for an exam. However, an application for a leave of absence, along with a medical certificate (from a registered medical practitioner) will need to be submitted.

9. ATTENDANCE AND LEAVE RULES

• Students are required to be punctual and regular; a minimum attendance of 75% of the total number of working days of the school in an academic year is compulsory. No pupil shall be eligible to appear in the School/Board examination unless he/she invests in the required percentage of attendance. This rule holds good in respect of all classes. Parents are particularly requested to take note of it.
• If a student remains absent for six working days without any information his/her name shall be struck off the school rolls and the student may be readmitted only at the discretion of the Principal. The re-admission fee will be charged as per school rules, in such cases.
• Once a student joins his/her class on a working day he/she will not be permitted to leave the school during school hours, except in case of an emergency. The student shall only be handed over to parents/guardians in such a case.
• A leave of absence will not ordinarily be granted on the first and the last day of the school term.
• It is mandatory to attend the first day of school, after vacations. If a child is not present on the reopening day, it would amount to gross misconduct.
• All applications for leave should be addressed to the Principal and submitted to the class teacher in case of leave less than or equal to three days; and for more than three days it will be granted by the Principal.
• No pupil shall absent himself/herself from the class without obtaining prior permission of the Class Teacher/Principal. In case such permission could not be sought, due to any reasons, then a leave application must be submitted to the class teacher on the next day itself, failing which, the student will not be granted any leave for the said absence. Application for leave should be sent by email to:info@ssis.ac.in.
• A medical certificate shall invariably support all applications for leave of more than one day on medical grounds.

10. SCHOOL TRANSPORT FACILITY

• The School transport facility is made available by the school through a private transporter to facilitate students. This facility can be used entirely at the discretion of the parent, only if it meets all their requirements and needs. The School only enables coordination between parents and transporters.
• The transport facility can be used by filling in the transport form available with the transport supervisor. The transport facility is subject to the availability of seats. Buses run on scheduled routes and timings must strictly be adhered to as it impacts other students also. Designated bus stops have been identified and buses will pick or drop students at these bus stops only. The bus stop will be intimated to the parents at the beginning of the service and will not be changed afterwards. Children will always be handed over to parents/guardians at the designated bus stop. In case of the unavailability of a parent/guardian at the stop, the child/children will be brought back to the school and can be collected from there. The bus service is liable to be withdrawn or changed from any area if it is not found to be feasible. Transport charges vary according to the distance and may be increased whenever the need arises. One-way bus service is not allowed.

• TRANSPORT FEE: The transport fee is to be paid monthly for eleven and a half months however, the fees for the months of May- June and February- March are to be paid bimonthly.

The transport fee is to be paid by the 10th of every month; failing which, the student will not be allowed to use the school transport from the subsequent month.
• SCHOOL BUS CONDUCT: Students availing this facility must observe cordial behavior while using the facility. Any kind of unruly conduct including shouting, showing aggression, being violent, etc., is not at all acceptable. Indiscipline by any student in the school bus will make the student ineligible to use the school transport. The bus in charge and the bus attendant will be responsible for the orderly behavior in the school bus.
• CHANGE OF ADDRESS: In case of any change in the bus route due to a change of address, an application should be forwarded to the transport supervisor and addressed to the Principal. Bus allotment would be subject to the availability of seats.
• WITHDRAWAL OF BUS SERVICE: The bus service can be withdrawn by giving a notice of one month. If the service is used even for one day in a particular month, then the fee is to be paid for the whole month. No student will be allowed to discontinue the bus service after the winter break.

The school neither recommends nor shares any responsibility for private vehicles including rickshaws, cycles, auto rickshaws, motor bikes, cars, cabs, vans, or any other vehicles that are used or hired to convey students.

11. APPEARANCE AND GROOMING POLICY FOR STUDENTS

Objective: Wearing uniform is a crucial aspect of Saint Soldier International School. It helps students from diverting their attention and not competing with respect to class, race, and ethnicity. One dress code represents equality.

Students are required to come to school wearing immaculately laundered school uniform and polished shoes. The students must appear neat and tidy all the time.

13. APPEARANCE:

Students are expected to adhere to the dress code prescribed by the school.
• Every child must wear the uniform to school, without fail.
• The uniforms are designed for a comfortable fit and students are not allowed to alter or modify them in any way, based on fashion trends or for any other reason.
• Wearing accessories like caps/beanies is also not allowed, however they can wear a white vest under the shirt, providing that it is fully covered by the shirt and does not protrude.
• The school prescribes standard black shoes as part of the uniform (no other form of footwear is allowed).
• The uniform must be clean, in good condition and worn at all times. The prescribed tie must also be worn neatly and pulled up to the collar with the button closed.

14. HAIR REGULATIONS:

• Boys must keep their hair short, always brushed or combed neatly. No hair accessories are allowed. Embedding patterns (like cuts/designs/lines, etc.) within the haircut is also not allowed.
• Sikh students up to class Xth must always wear patka/under-turban all the time whereas senior Sikh students must wear a turban.
• Girls must comb/brush and tie their hair to give a clean look. Hair accessories of any kind are not at all allowed. Alice bands/hair bands must be maroon in colour.

15. GROOMING

• All nails should be short and clean. Nail accessories like polish or false nails also not allowed.
• Similarly, altering eyebrows or coloring them is not allowed.
• No make-up is allowed.

16. JEWELLERY AND ADORNMENTS

• Coloured eye contact lenses are not allowed.
• Jewellery of any kind is not at all allowed, unless permitted by religion.
• Female students, who have pierced ears, may wear a single pair of small earrings on the earlobe.
• Watches can be worn only by students of class VII and upwards. Watches should not be expensive. Smart watches and watches with a calculator are not allowed.
• No tattoos and piercing of any kind, apart from the ones mentioned above, are allowed.
• Any jewellery that is not allowed, if bought at school, will be confiscated and kept until the end of the term.

17. SCHOOL PROPERTY

All property of school must be handled with care.
If any school property and/or resource is damaged, the amount of the resource will be recovered from the parent. In the event of collective damage of property in classrooms, laboratories, library, school grounds or elsewhere inside the campus, all students involved in such an incident will be charged the cost of damage.
Please note that the price of the resource will be considered based on its current market value.

18. PROHIBTED ITEMS

• MOBILE PHONES
Students are not allowed to bring mobile phones to school. The aim of the school is to provide a safe environment to learn without inappropriate mobile phone use (including cyberbullying), or distractions
Mobile phones, if brought to school, will be confiscated and will be returned only after the completion of the term.
• INTOXICANTS AND DRUGS
Students should not bring alcohol, any type of tobacco product or any type of legal/ illegal drug into the school. They should neither have it on their person, nor consume it. Sale of tobacco products and alcohol is prohibited by law within the hundred-yard limit of an educational establishment.
Psychoactive drugs (depressants, stimulants, and hallucinogens) are also forbidden. The school will take disciplinary action concerning any individual within its jurisdiction who sells, helps obtain, possesses, consumes or is under the influence of any of these.
Prescribed medicines, if any, must be left with the doctor in the medical room.
• WEAPONS
Saint Soldier International School is committed to maintaining an environment in which all individuals, including students, employees, and visitors, feel safe to conduct their daily routines of work and study. In furtherance of this commitment, all devices and instruments that may be used to cause harm are therefore always forbidden inside the school campus. Any object or substance used, or that could be used, to inflict a wound, cause injury, kill, or incapacitate, including but not limited to (1) all firearms, air rifles and other non-lethal guns or rifles; toys like slingshots, pellet guns, etc. (2) martial arts weapons and instruments like clubs, staffs, metal knuckles, nun chucks, knifes (of any type), etc. (4) explosives, fireworks, and firecrackers; (5) and dangerous chemicals such as tear gas and mace, including permitted and legal disabling chemical spray repellents used for self-defense; and (6) instruments that launch projectiles, and ammunition relating to the above. Saint Soldier International School specifically prohibits the possession, transfer, use and/or distribution of weapons by any faculty or staff member, student, or visitor while on the campus, whether the owner is licensed to carry such weapon.

Students found in possession of licensed, unlicensed, or illegal weapons at school campus may be subject to appropriate disciplinary action, up to and including expulsion, and/or criminal proceedings will be taken against any individual who violates this policy. Students are further reminded that the Principal, at her discretion, may permit teachers to search students’ bags and their contents at any time, without prior notice, including personal possessions to ensure compliance with all applicable policies.

19. CODE OF CONDUCT FOR STUDENTS

All students in a school benefit when behaviour is good. High standards of behaviour are important in helping children feel safe and learn well. Parents and guardians play a significant role in helping achieve this goal.

We at SSIS, Chandigarh, emphasize nurturing positive behaviour, assist in building self-discipline and encourage respect for others; but we also enforce sanctions to prevent students from misbehaving. The school reviews discipline/positive behaviour of students regularly and expects every student to follow a specified code of conduct.

The rules on conduct are applied before and after school, as well as during school hours. Students must behave well in corridors, in bus queues and at lunch and break times as well as in the classroom.

A code of conduct for school students helps to ensure that everyone in the school community is aware of the expected standards of behaviour and helps to maintain a safe and respectful environment for learning.

20. GOOD PRACTICES

• Respect: All students should be polite and treat others with respect, including fellow students, teachers, support staff and visitors. Disrespectful behaviour such as bullying, harassment, or discrimination will not be tolerated. Students are not allowed to leave class without the permission of the teacher.
• Attendance: Regular attendance is important for academic success. Students should attend school regularly, arrive on time, and notify the school if they will be absent.
• Academic Integrity: Cheating, plagiarism, or any other form of academic dishonesty is not acceptable and may result in disciplinary action.
• Clean Surroundings: All students are required to maintain clean surroundings. Students are expected not to litter and use trash cans.
• Safety: Students should follow all safety guidelines and procedures in the school, including rules for transportation, use of equipment, and emergency procedures.
• Personal Responsibility: Students are responsible for their own actions and should take ownership of their learning. They should come to school prepared, complete their work on time, and take responsibility for their mistakes.
• Technology Use: Students should use technology in a responsible and appropriate manner, following the guidelines of the school for internet and device use.
• Dress Code: Students should dress appropriately for school, following all guidelines established by the school.
• Student ID card: Students must carry their school identity card to school and carry it while in school.
• Language Use: Students should use appropriate language in all school settings, including classrooms, corridors, school ground and elsewhere within school premises.
• Substance Use: The use of alcohol, drugs, or any other illegal substances is not permitted in the school premises, including school grounds, at school-sponsored events, or on school transportation.
• Prohibited items: Students should not store or possess any item that is prohibited by the school, including real or replica firearms or other weapons, explosives (including fireworks), ammunition, or toxic or otherwise dangerous materials on the school campus.
• Sanctions: Violations of the code of conduct may result in sanctions such as a reprimand, a letter to parents or guardian, removal from a class, loss of privileges, confiscating prohibited items (for example, a mobile phone or a music player), stay-backs, suspension, or expulsion, depending on the severity of the offense.

Teachers can physically restrain students where it is necessary to stop them from injuring themselves or someone else; damaging property or causing serious disruption.

I. Stay backs.
Stay backs can take place after school hours. It is mandatory to attend stay back classes. Notice of a stay-back will be served by the Principal one day prior to the class so that parents can plan for transport. The notice would tell why the stay-back was given.

II. Suspensions
A child who is responsible for any misbehaviour at the school can be suspended for a fixed period of time. The School can suspend a child if:
• School rules are broken repeatedly or in the case of gross misconduct.
It is important to note that:
• Only the Principal can suspend a pupil.
• An initial suspension will not exceed five days.
• The child will be given suitable work to do during the suspension period. Parents need to collect the work from the school and return it when their child has completed it.
• The school would call the parent on the day the child is suspended and provide an immediate written notification regarding the same. The letter will set out the period and reason for the suspension.

III. Expulsions
The school will usually only expel a student as a last resort after trying to improve the behaviour of the child through other means. However, there are exceptional circumstances in which the school would decide to expel a pupil for a ‘one-off’ offence.
The decision to expel a child can be taken only by the Principal after consultation with the behaviour committee.

21. RECOMMENDATIONS TO PARENTS

• Parents should pay special attention to the personal cleanliness and uniforms of their children.
• Parents must ensure that their children are punctual and maintain regular school attendance.
• If the child is absent, the same may be recorded in the diary. Attending school for half a day is not encouraged. Once the child is in school, he/she can leave only after the last bell, except in an emergency and with the permission of the Principal.
• Verbal requests through relatives or servants to allow children to go home before school gets over, will not be accepted.
• Parents/guardians are required to check the school diary of their ward daily and see that the lessons and homework assigned for the next day, is done. Teachers’ remarks made in the diary should be seen and countersigned regularly.
• Children should be encouraged to do their homework by themselves. It is important that the children develop a habit of studying on their own.
• Any criticism of a teacher or of the school in the presence of a child should be scrupulously avoided because it causes the child to lose respect for their teacher; and once that happens the child may stop learning from her. Should a guardian have any legitimate complaint, he/she is advised to meet the Principal.
• Parents are requested to discourage their wards from using private cars, scooters etc. for coming to school.
• As the medium of instruction is English, children should be helped by a certain amount of regular conversation in English at home.
• Parents should attend the Parent-Teacher Meetings regularly. Parents wanting to meet a particular teacher should send a request in writing in the given format.
• Any change in the address/telephone number should be sent to the school promptly by filling in the form available at the school office.
• School is a formal institution, and its decorum needs to be maintained. Please ensure you are suitably dressed when visiting the school premises.
• Parents who pick up their wards after school hours must be punctual. The school is not responsible for the safety of pupils beyond school hours.
• Missing school to attend social functions should be avoided. Students reaching the school under their own arrangement should not reach before 7:45 am (Summer) and 8:00 am (Winter).
